ACS Volunteer and Participant Code of Conduct Policy

The mission and vision of the American Chemical Society (“ACS”) is to advance the broader chemistry enterprise and its practitioners for the benefit of Earth and all its people, as well as to improve all people’s lives through the transforming power of chemistry. As one of the world’s largest scientific organizations, ACS is committed to providing a safe, inclusive, respectful, positive, and welcoming environment for all participants at every event, whether in-person or online.

This Volunteer and Participant Code of Conduct Policy outlines ACS’ expectations for all ACS members and participants at in-person and virtual events and activities, including but not limited to seminars, symposia, trainings and courses, mixers, meetings, programs, and gatherings that are organized, hosted, planned, or managed in whole or in part by ACS or its units (“ACS Hosted Events”). Participants, including but not limited to, those engaging with ACS as members, officers, affiliates, associates, volunteers, attendees, exhibitors, partners, speakers, and service providers (“Participants”), are expected to communicate and abide by this policy at all times.

  1. Participants should understand and support ACS’ mission and vision.
  2. Participants are expected to act in a professional, courteous, cooperative, and respectful manner in order to contribute to a safe, collegial, inclusive, and positive environment for all Participants. Participants shall not engage in any action that could be considered bullying, threatening, or that implies or inflicts physical or emotional harm.
  3. Participants shall not discriminate, harass or take any inappropriate actions based on any characteristic protected by applicable law, including but not limited to race, religion, national origin, country of residence, citizenship, language, sex, gender identity and expression, sexual orientation, disability, age, economic status, marital status, or/and physical appearance.
  4. Specifically with regard to sexual harassment, Participants shall not engage in any unwelcome sexual conduct, including but not limited to, unwelcome sexual advances, requests for sexual favors, sexual jokes or inferences, stalking, lewd or offensive sexual behavior. Any verbal or physical sexual harassment is unacceptable and will not be tolerated. Personal boundaries set by others must be observed.
  5. Participants will comply with all applicable laws and regulations of the relevant government authorities, as well as all rules, safety guidelines, and regulations of the venue for any ACS Hosted Event.
  6. Participants shall only use ACS’ trademarks, insignia, name, logos, and other intellectual property in compliance with the ACS Governing Documents and/or Branding Guidelines.
  7. Participants granted access to sensitive, confidential, and/or proprietary information of ACS, including but not limited to, trade secrets, financial data, business data, personally identifiable information (PII), governance records, presentations and abstract papers, and any other non-public information, must take reasonable efforts to protect and safeguard such information.
  8. Participants are prohibited from engaging in unauthorized photography or recording, including within the event environment for use on social media, without the prior permission of the event organizer, the individuals to be photographed/recorded, and/or owners of any underlying content.
  9. Participants shall fully disclose all potential and actual conflicts of interest, including but not limited to distinguishing whether they are speaking as an individual or in an ACS capacity.
  10. Participants may be required to consent to a background check in order to participate in an ACS Hosted Event involving certain groups (e.g., people under age 18, other vulnerable groups, etc.) as may be required under applicable laws and regulations or otherwise deemed appropriate. Individuals working either directly or in an unsupervised capacity with these certain groups should familiarize themselves and comply with any relevant reporting laws regarding volunteers and background checks.
  11. Participants shall comply with applicable antitrust laws and are prohibited from discussing or making unlawful agreements at ACS Hosted Events. Participants shall refrain from inappropriate discussion of business operations or exchanging competitively sensitive information.
  12. Violations of this policy at ACS Hosted Events must be reported promptly either to the ACS Office of the General Counsel (“OGC”) at whistleblower@acs.orgor via one of the anonymous methods listed below. Please reference “ACS” or the “American Chemical Society” in the subject line of any written submissions. All reported concerns will be reviewed in a timely manner.

  13. Where appropriate, the OGC will investigate the allegations as reasonably promptly as possible. Upon completion of the investigation, the OGC will, in coordination with the Secretary, inform the appropriate governing body of the results of the investigation so that body can take such actions as they may determine appropriate to ensure any violation of this Policy is not repeated. Information will either be provided to the Chair of the ACS Board of Directors or in the case of Councilor conduct, the Council Policy Committee. Potential actions include but are not limited to the following:
    1. A warning to the offender
    2. Removal from the meeting or event without refund
    3. Blocking individuals from online platforms
    4. Reporting the incident to law enforcement or other appropriate government agencies
    5. Exclusion from future ACS meetings, events, and activities
    6. Expulsion or suspension from the Society without refund

Please note, for privacy reasons, the Participant filing the initial report may not be informed of certain details related to the investigation or the precise nature of the action taken by ACS.

14. Any Participant who, in good faith, reports a violation of this policy shall not be subject to retaliation. Any Participant who retaliates against someone who has reported a concern in good faith is subject to an investigation and disciplinary actions as appropriate, including by the Board of Directors, or in the case of Councilor conduct, by the Council Policy Committee.

Meeting Policies

ADA Compliance

ACS is dedicated to ensuring that no individual with a disability is excluded, denied services, segregated, or otherwise treated differently because of the absence of auxiliary aids and services identified in the Americans with Disabilities Act (ADA). If you have an emergency or need immediate assistance during the meeting, please contact any ACS Operations Office.

The Ernest N. Morial Convention Center is ADA compliant. It has wheelchair ramps, automatic doors, passenger elevators, and accessible restrooms for those who need them. Brailed instructions/directions are strategically located throughout the convention center and pay phones with (TDD) hearing-impaired functions are on each level of the building.

Audio Taping, Photography & Videotaping

No Image Capturing or Recording Please

The capturing of images, sounds, or stream, downloading, or rebroadcasting of technical session (oral or poster) speakers or presentations is strictly prohibited within the ACS meeting platform.

Registration Cancellation/Refund

You can cancel your existing registration and social events or request a refund before the meeting in accordance with the ACS registration cancellation policy. All refunds are issued via the same method used for payment. Refunds are processed within 30 days after the conclusion of the meeting. By adhering to the following cancellation procedures, registration cancellations received by March 04, 2024, are entitled to a full refund, less a $50 administrative fee.

  • Contact the ACS registration customer service center Monday to Friday, 9 AM to 5 PM (Eastern) at 800-251-8629 (U.S. registrants), 508-743-0192 (International registrants), or email acs@xpressreg.net to request refunds, registration upgrades or category changes (i.e., changing your registration category from in-person to virtual or upgrade from virtual to in-person)
  • Requests for registration refunds, upgrades or category changes made after March 04, 2024, will not be honored.
  • Cancellation notices must be submitted to the ACS registration customer service center by phone, or e-mail by March 04, 2024.
  • All refunds will be issued via the same method used for payment. Refunds will be processed within 30 days of the conclusion of the meeting.
  • Canceling your registration will not automatically cancel your housing reservation; however, ACS reserves the right to cancel the room(s). To cancel your hotel room(s), please contact acshousing@spargoinc.com. ACS will not reimburse cancellation or no-show fees charged by the hotel.

Registration refund requests made after March 04, 2024, will not be honored and no refunds will be issued for registrations.

Registration Upgrades or Category Changes

If you would like to change your registration category from in-person to virtual or upgrade from virtual to in-person, please contact the ACS Registration Call Center on Monday to Friday, 9 AM to 5 PM (Eastern) at 508-743-0192 or email acs@expressreg.net. Requests must be made by March 04, 2024.

Electronic Devices

As a courtesy to other meeting attendees, electronic devices must be operated in silent/vibrate mode within technical or educational sessions. Cell phone conversations are not permitted in meeting rooms.

Literature & Product Distribution

Promotions, posters, and literature distribution by attendees, sponsors, or divisions during the meeting must be done within their own meeting room space, except for designated marketing opportunities. Only ACS Operations Office staff are authorized to place any promotional items in public meeting space. Items left in violation of this policy will be removed and discarded.

Literature distribution at specific division tables is under the control of that division. You must secure permission from the division before placing any items on its table.

Smoking

ACS policy prohibits smoking in all official meeting venue rooms during ACS functions. Additionally, as a reminder, the Convention Center and hotels are always self-determined smoke-free environments.

Meeting Badge

All attendees and presenters are required to wear their badge at all official meeting events, including technical and poster sessions.

  • Third: $50

Attendee Safety

ACS Spring 2024 is a rewarding and stimulating experience and we want to make sure you enjoy your time in New Orleans!

  • If you see something, say something to ACS Staff, ACS Security, or local authorities. That includes suspicious packages, people behaving strangely or someone using strange communications.
  • Act confident and focused.
  • Always be aware of your surroundings and the people you encounter.
  • Always remain alert, especially in crowded situations. Avoid shortcuts and walkways between buildings. Keep on well-lit and heavily traveled routes.
  • Always remove your meeting name badge when you are outside the meeting venues.
  • Wear comfortable shoes to ensure you can move quickly if necessary.
  • Keep your eyes up, your ears open, and your phone away. Do not look down at your phone or appear that you are using your phone for directions.
  • Keep your phone charged and easily accessible: Keep your phone charged and on hand in case of an emergency. Program important phone numbers, such as the police or a trusted friend or family member, into your phone for easy access.
  • Travel lightly and leave anything irreplaceable in your hotel room so you don’t risk losing it.
  • Be Discreet with your money.
  • Carry your wallet and valuables in a safe place/in front. Always keep a close eye on your belongings.
  • Always walk with a group of people (more than 2 if possible) and if that is not possible, take a taxicab, Uber or Lyft.
  • After dark or after event hours, travel by hotel shuttles, taxicab, Uber or Lyft is advised.
  • Beware of people who approach asking directions or are panhandling; keep a polite but safe distance.
  • Stay in well-lit areas as much as possible.
  • Always stay in public places and never agree to follow someone to a private place alone.
  • Seek safety and fight only as a last resort.
  • Understand that alcohol or drugs can cloud judgment.

ACS is not responsible for lost items. Owners with acceptable identification can retrieve lost items turned into an ACS Operations Office during office operating hours. Found items lost in the Ernest N. Morial Convention Center are retrievable from the ACS Information Booth during the hours of operation. Lost items not claimed by the close of the meeting are given to the venue’s security office.

The Luggage & Coat Check Station is located in Ernest N. Morial Convention Center, Lobby D. Items left beyond the published hours of operation are given to building security at the end of each day. The service is complimentary.

ACS will provide a "Standard HDMI Cable" in meeting rooms. Additional equipment (such as aisle microphone, screen, laptop, etc.) may be ordered on-site through the venue's ACS Operations Office. Speakers will need to pay by credit card for the additional cost for this equipment unless the current division officer (chair, treasurer, program chair) signs for the charges. Additional equipment is based on workshop space, equipment availability and at the sole discretion of ACS Operations staff.

As part of a pilot benefit, all presenters will be issued digital certificates via email from ACS Meeting Programming Support (maps@acs.org) within 6-8 weeks from the conclusion of ACS Spring 2024. If it has been over 8 weeks since the conclusion of the meeting, please contact maps@acs.org to inquire about your digital certificate.

Guidelines

  • All materials must be confined to a 4' high by 8' wide display board. 
  • Authors are responsible for mounting their materials beginning one hour prior to the poster session (pushpins will be available at the poster session).
  • Poster numbers, supplied by ACS, will be on the floor in front of the poster board and this number corresponds with the number assigned to each poster in the technical program.
  • Authors must remain with their posters during the scheduled time indicated in the technical program.
  • All posters must remain up until the session ends and then removed within one hour.
  • ACS cannot assume responsibility for materials beyond the time limits.

Sci-Mix

Monday, March 18; 8:00 PM to 10:00 PM

  • Ernest N. Morial Convention Center, Hall C

Things to Know:

  • A soft open for presenters to enter Sci-Mix will be at 7:30 PM, and all presenters will be responsible for their posters after mounting.
  • One assistant only, may accompany each presenter, and both people are required to arrive together when entering the hall.
  • After exiting, presenters are not permitted to reenter the hall until the session begins at 8:00 PM.
  • Sci-Mix officially opens to all attendees at 8:00 PM.
